Data Request function assists the collection of emission-related data from suppliers outside of organization.
6.0.1 Data Request Listing
The Data Request Dashboard manages all data collection activities.
You can track, filter, and monitor requests across different entities and time periods. By using filters and search, you can quickly access specific requests.
6.1.0 Initiate a Request:
Option 1 : Go to Data Request > Create Request
Option 2 : Click "Send Request" from any Data Input activity.
6.1.1 Select Activity and Time Frame
Fill in the Timeframe by selecting the fiscal year and specifying the month.
Click "Add Activities" to go to the library and select the KPI you want to request from the Data Provider.
6.1.2 Select Data Provider Email
Select the Data Provider Company and Contact.
6.1.3 Contact Point
Fill in the contact details.
Send out the request.
6.1.4 Data Provider - Request Form
Once the request is sent, the selected contacts will receive an email with an access link.
They can open the link and fill in the Request Form.
After submission, the data will appear on the Data Input page as a row under "Form 1 Data Owner
6.2.1 Pending Status
After sending the request, it will appear in the Pending List.
Click on the row to view details.
While in Pending status, you can:
Send a reminder
Cancel the request
6.2.2 Waiting for Approval
Once the Data Provider submits the data, the request moves to "Waiting for Approval."
While in Waiting for Approval status, you can:
Request revisions (if needed)
Approve the data (if correct)
The submitted data will appear on the Data Input page as a row under "Form 1 Data Owner
6.2.3 Approved
Upon approval:
The data auto-fills in the Data Input page.
The status changes to "Approved."
You can re-send the request if needed.
6.2.4 Cancelled
To edit and resend a request, you must:
Cancel the request
Submit a new one
Cancelled requests remain in the Cancelled tab, where you can re-send them.
6.3.1 Overview
Manage the contact lisy by clicking "Manage Contact List" (top-right dashboard corner).
6.3.2 Contact List
In the Contact List, you can
Export/Import contacts
Create/Edit/Delete contacts
You can also filter contacts by entity using the "Industry" and "Emission Type" dropdown.
6.3.3 Export / Import Contacts
Step 1 : Click "Update Contact"
Step 2 : Select Export → Download Excel template
Step 3 : Edit the file (add/update contacts)
Step 4 : Re-upload the completed file
6.3.4 Create New Contacts
Required Fields:
Company Name :
Industry :
Data Owner Type :
Department :
Department Location :
Select Country : Hong Kong
Select Area : Hong Kong / Kowloon / New Territories
Related Emission Type : Select Related Focus Area
Data Owners : Fill in Name & Email ; (click "Add More" for multiple)
After filling in all the details, click "Add" and it will successfully create a new contact.
6.3.5 Contact Details
After creating the contact, you can review the details by clicking "Detail"
The contact details can be updated here. You can also add or delete the contact or update the department information.
